Company retention rules adopted on 3 October 2026. Version 1.1 · M&N TOP SPEED DELIVERY LTD.
Existing records are preserved at adoption. For these records, the retention clock starts no earlier than 3 October 2026. Original earnings, activity, document-upload and closure dates stay unchanged. New records use their real applicable dates.
How this is applied
Retention is managed through a monthly manual review, accountable to Fotis. This is not an automatic deletion service. The first review and legacy inventory are due on 2 November 2026. Each reviewed deletion must include previous versions and company-controlled copies, with financial/legal exceptions checked before removal.
No existing records are erased by adopting this policy. Missing trigger dates require investigation; they are not silently replaced with today’s date.
Retention periods
| Information | Period |
|---|---|
| Detailed location points and route replay Recent driver support, incident verification and corrections; older raw routes are unnecessary for routine support. | 90 days from observation |
| Detailed online/offline events and day timelines Recent performance review and challenges to activity reports. | 6 months from activity date |
| Non-financial performance summaries and rankings One annual cycle of driver coaching and comparison. | 12 months from reporting date |
| Current identity, ARC/residence, work-permit and driving-licence copies Verify identity, permission to work and drive, and close out the relationship. | While needed for the active relationship, then 6 months after the driver relationship ends |
| Superseded identity/document copies Allow correction of a replacement without accumulating indefinite histories. | 90 days after a valid replacement is verified, or the post-exit deadline above, whichever is earlier |
| Medical certificates and supporting sick-leave files Process leave, resolve immediate corrections and reconcile the absence. | 6 months after the sick-leave case is finally closed |
| Salary, earnings, payments, deductions, advances and required tax/accounting evidence Cyprus tax/accounting recordkeeping and reconciliation. | 6 years from the latest applicable tax-return or amended-return filing deadline or actual filing date |
| Core contract, terms, work-eligibility verification and relationship closure evidence Establish or defend contract/work-related claims. This is a selected company default, not a universal legal minimum. | Review at exit and retain only necessary evidence for up to 6 years after the relationship ends |
| Non-financial driver service requests, housing/bike support and support correspondence Complete the service and resolve follow-up questions. | 12 months after final closure |
| Account/contact/profile details not otherwise legally required Account access and close-out contact. | Active relationship plus 6 months after final closure |
| Failed or withdrawn application documents if present in company systems Resolve applicant questions and corrections. | 6 months after rejection, withdrawal or final closure |
| Routine login/network/security logs Investigate recent access problems and abuse. | 90 days from event |
| Non-financial business audit records Verify recent operational actions and access. | 12 months from event |
| Privacy-request and deletion evidence Demonstrate handling of data rights and deletion. | 3 years after request closure |
| Temporary downloaded/shared files and exports Complete a selected download/share/export. | Delete when the immediate task ends; native app share files when the share-sheet handling finishes |
| Backup remnants of a deleted record Recovery only during a bounded backup lifecycle. | Expire within 90 days of deletion from active systems |
Exceptions and copies
A specific legal obligation, open claim, accident/insurance case, dispute or investigation can require relevant records to be kept longer. Record the reason, restricted access and a review date no more than 90 days away. Financial retention does not justify keeping unrelated medical files, passport copies or complete routes indefinitely.
The backup-remnant target is expiry within 90 days after deletion from active systems. Each actual backup, mirror and downloaded export must be checked before claiming complete deletion. A restored backup must have previous deletions reapplied before normal use. Hiding or archiving a record is not erasure.
Your information
Send access, correction or deletion requests to info@flee7.com. We verify identity using only necessary information and normally respond within one calendar month. Lawful exceptions can require some records to be retained; we explain those exceptions. Uninstalling the app does not delete company records.
Basis for the periods
Operational periods are selected company limits based on purpose and necessity. Cyprus tax/accounting records use the six-year rule from the relevant latest tax deadline or filing date, checked by the accountant. Read the current Cyprus tax law and the European Commission’s storage-limitation guidance.
